If your poster file is really huge, here are some things you can do to help reduce the file size:
If you are using Powerpoint or a similar program, print the poster as a handout that fits A4 or US Letterhead sized paper. Most programs allow you to 'print to file' or even better, print as a pdf.
You may need to resize your images in the poster. Screens only display images with 72 dpi, but for print media you should use 300 dpi. Since here you are just displaying your poster on a screen, you can reduce all your images to the smaller resolution.
If you have access to Adobe Professional, or someone in your office does, you can easily reduce the file size through the options menu.
